OpenText is seeking a Facility Administrator to join our Team and support our Executive office at our Alpharetta, GA location.

As a key member of the team, the focus will be to ensure the office operates effectively and efficiently, service levels are phenomenal, and our guests are received with energy and professionalism. As a first point of contact, this person will be an ambassador of our brand and take pride in providing the optimal customer experience. This requires organization, creativity, active listening, and enthusiasm. The right candidate will help us find new ways to wow both visitors and our internal staff with service.

 

Responsibilities:

  • Share in receptionist duties by greeting visitors, answering the phone, and routing calls
  • Communicate any appropriate details and information to employees, guests, and senior management, using discretion when necessary
  • Distribute incoming mail and prepare outgoing shipments and interoffice mail
  • Perform an extensive array of administrative tasks: manage meeting room calendars, prepare purchase order requisitions, and handle special projects
  • Maintain the professional appearance and general organization of the office, including conference rooms, supply rooms and copy rooms
  • Maintain databases such as operating manuals, floor plan software, visitor access cards, visitor management system, new hires system, Facility ticketing system, Shuttle bus lists
  • Oversee new hire seating assignments and internal staff moves and coordinate with the IT team
  • Prepare for meeting setups as needed including assistance with food service ordering
  • Maintain inventory supplies, ordering, and restocking of stationery and kitchen supplies

 

Qualifications:

  • 2+ years administrative support and front desk experience
  • Highly proficient in MS Office Suite (Word, Excel, Outlook)
  • Possesses excellent verbal/written communication and interpersonal skills
  • Ability to interface and communicate with all levels of the organization, Strong customer service focus
  • Provide a positive experience to our customers, clients, and employees alike
  • Demonstrated ability to work collaboratively as part of a team
  • Excellent organizational skills and attention to detail  
  • Ability to be discreet and handle confidential, sensitive information
  • Flexibility to work overtime, as needed
  • College / University degree / certificate or equivalent work experience
  • Must demonstrate a desire to embrace learning and take initiative
