Facilities Administrator

The Opportunity

Coordinate OpenText facilities operations in designated locations of assignment. Serve as the liaison between OpenText Staff, building maintenance and other related vendors to ensure appropriate maintenance to the facility.


You Are Great At

  • Responsible for Facilities tasks, requests and concerns and is a main point of contact for employees, vendors and contractors and greeting guest.
  • Oversees the building/office maintenance tasks, ensuring a high standard of office appearance is maintained in areas such as: building systems, furniture, janitorial, interior finishes (carpets, walls, ceilings etc) and perform regularly scheduled building inspections
  • Oversee vendors and contractors - proper completion of maintenance and repair requests.
  • Coordinate workspace assignments, move requests and maintenance of occupancy software.
  • Coordinate employee services including catering, parking services, distribute and process mail and couriers etc.
  • Assist with onboarding of new employees.
  • Liaise with other departments including IT, HR, Real Estate, Workplace Programs, and others.
  • Assist in preparation for high end meetings/presentations, coordinate efforts with other departments. (Catering orders, vendors etc).
  • Representation on the Health and Safety committee and first aid certified. (Trained on AED and First Aid)
  • Source new vendors for facility projects
  • Support the Facility Manager as needed.


What It Takes

  • Minimum 4 years’ experience in office services role.
  • Strong Customer Service skills| Attention to Detail| Strong communication
  • Initiative and personal ownership combined with an attitude of continuous improvement.
  • Knowledge of building and mechanical systems is an asset.
  • Some physical labor required; ability to lift twenty pounds.


The position requires a high school education with some business school training and/or previous office experience.
