As part of the Facilities team the position will be based at the company’s Reading Office.  The company culture is corporate but modern and exciting. The office is based on two floors and has capacity for 300 employees. Key Business units located at site are Customer Support Teams, Senior Management, Sales, Marketing, Professional Services, Development, Analytics and IT Support. The Facilities Coordinator role is therefore very busy and people-oriented. The candidate will need excellent people skills, work closely with the OpenText Facilities team but will need to be motivated to work individually. The core responsibilities are to support the Reading Facilities Manager in administration and operational support. Hours of working are from 8:30am – 5:00pm. 


WHAT YOU WILL DO: 
•    Assisting the Facilities Manager with supervision of regular Facility Service provision such as cleaning, maintenance and ensuring that high standards are maintained.
•    Monitoring the UK Facilities inbox for any reactive works or services requested at site
•    Tracking and verifying of Facility Service Invoices for monthly Budget Reporting
•    Maintain updated First Aid provision, Fire & Emergency Evacuation Plans, Workplace Risk Assessments and H&S policy implementation following central OpenText guidelines
•    Conducting weekly health and safety checks around the building
•    Control Space Planning using OpenText internal software, meeting department requests and maintaining up to date information on starters and leavers via the HR system.
•    Raising purchase orders
•    Checking the meeting rooms on a daily basis, working with the cleaning team to ensure that each room is to a high standard
•    Covering Reception at lunchtimes/as and when required.
•    Supporting the Facilities Manager with Facilities programmes and initiatives 


WHAT YOU’LL BRING:  
•    Good telephone manner and communication skills 
•    Excellent organizational skills
•    Excellent reception and Administration experience.
•    Experience with Microsoft package
•    Written and verbal skills in English language is essential.
•    Candidate must have an outgoing, personality and will be well presented
•    Ability to organize, manage time and workload on a daily basis
•    Demonstrate excellent written and oral communications skills, as well as superior interpersonal skills – intercultural skills and experience are a plus along with a strong customer orientation.
•    Must be able to apply flexibility when needed 
•    Passionate and willing to learn.
•    Ability to multitask, prioritise, and deliver consistently excellent performance in an ever-changing environment.
