The Opportunity: 

Reporting to the SVP, Chief Accounting Officer, the Sr. Executive Assistant will be responsible for providing executive administrative support to both functions and leaders to ensure that operations are maintained in a proficient manner.  In addition to supporting the SVP, Chief Accounting Officer, this role will also support the VP, Tax (located in Mountain Standard Time zone) and VP, Revenue Recognition. The role must demonstrate the ability to adapt and anticipate the needs of Senior Leadership and changing priorities with a high level of professionalism, confidentiality, maturity, and positive attitude.

 

You Are Great At:

  • Independently manage and coordinate multiple calendars, appointments, reservations, expenses, and travel arrangements supporting the SVP, Chief Accounting Officer, as well as the VP, Tax and VP, Revenue Recognition.
  • Proactively create and maintain effective communications to accomplish the work of the executive which includes the handling of a variety of projects and tasks simultaneously.
  • Independently organize and produce both in-person & virtual meetings and conferences, typically in MS-Teams
  • Create and/or modify high quality presentations, reports, and letters, with a high attention to detail, using the Microsoft Office Suite including Microsoft Teams.
  • Ensures timely and accurate submissions of expenses and invoices.
  • Co-ordinate and support daily office related tasks for the CAO, Tax and Revenue Recognition teams
  • Establish and maintain a centralized/coordinated electronic office team filing system.
  • Understand and follow OpenText Approval and Authorization policy, including affixing e-signatures on documentation.
  • Work across multi-disciplinary teams to achieve set tasks and goals.
  • Attend team meetings and capture meeting notes, when appropriate
  • Administrative other duties as required.

 

What It Takes:

  • Minimum Post-Secondary education in an administrative or business-related discipline or equivalent in years of experience
  • Minimum of 5 years’ experience and support of senior and C Level Executives
  • Self-starter, with a high level of attention to detail, excellent problem solving and follow-up skills, and a commitment to maintaining confidentiality.
  • Excellent interpersonal and communication skills (both verbal and written)
  • Excellent time management and organizational skills with the ability to prioritize, multi-task and adhere to deadlines.
  • Highly proficient with Microsoft Office, including PowerPoint, Word, Excel, and Teams.
  • Working knowledge of Concur (SAP) expense management software.
  • Ability to work effectively under pressure within a fast-pasted team environment.
  • Mature approach, with an ability to exercise sound judgement in responding to inquiries and solving problems; Individual must be highly proactive and flexible.
  • Works well both independently and as a team member

 

Work Location

The location for the position Richmond Hill ON, CA (with flexibility to work several days a week virtually).
